PMS pricing can look simple until add-ons, payment fees, onboarding and portfolio growth are included. Compare platforms using total cost of ownership rather than the advertised monthly price.

Common PMS pricing models

Providers commonly charge a flat monthly subscription, a fee per property, a percentage of booking revenue, or a hybrid. Some plans bundle features while others charge separately for websites, guest communication, revenue management or premium integrations.

Costs buyers often miss

Check implementation and migration fees, minimum monthly commitments, payment processing, booking commissions, API access, extra users, premium support and contract terms. A lower base price can become more expensive when essential modules are added.

Model cost as your portfolio grows

Run pricing at your current property count and at your expected count 12 to 24 months ahead. This reveals whether the pricing structure scales efficiently and reduces the risk of an expensive migration later.

Price vs operational ROI

The cheapest system is not automatically the lowest-cost system. Automation that reduces repetitive work, missed tasks or manual reconciliation can justify a higher software fee. Evaluate cost against labor saved, booking reliability and management visibility.
